Accounting Assistant

Production Coordinator

Responsibilities: Manage 4 full-time crew members and two to three interns on a day to day basis. Work with Production Manager and Assistant Production Manager on the execution of a wide variety of programming including one-off concerts, theatre and dance productions as well as one, two and three week residencies. Oversee maintenance of venues and equipment.

Requirements: BA /BFA or equivalent professional experience. Familiar with traditional and conventional practices of theatre stagecraft. Must have previous crew management experience. Should have experience with dance, concerts and theatre productions, as well as ability to adapt to untraditional venues, such as galleries and street events. Background in theatrical electrics and rigging a plus. Excellent communication skills a must.

We work with a wide range of artists and change venues frequently, including off-site and in-gallery productions: we're looking for a Production Coordinator who enjoys being fast on their feet, working with many different people in a spectrum of disciplines and likes getting involved in all phases of staging shows and who looks forward to providing excellent service to visiting artists-in-residence.

Operations Manager

Responsibility: Oversight and management of all aspects of museum operations, logistics, physical plant maintenance, on-site construction, and operations and programming of building HVAC and public safety systems, to include:

  • management of buildings, grounds, and building systems to promote the coordinated use of those assets and systems for the purpose of furthering the institution's art and economic development mission;
  • integrating maintenance, public safety, and facilities systems with the institution's public arts programming, special events, and commercial lease operations;
  • direct management, budgeting, evaluation and training of custodial, building maintenance and security staff;
  • interaction with tenants on building and building systems issues; development and execution of a progressive and proactive site-wide maintenance and energy efficiency program, development and execution of a comprehensive materials and waste recycling program.

The job requires the ability to deal directly and effectively with the museum's professional staff, artists, patrons, and visitors, as well as with tenants, local and state building and public safety officials, contractors and sub-contractors, service vendors, public and private insurance agencies, granting agencies, patrons, and donors.

The job is one of the institution's key "public faces", so excellent communication and public diplomacy skills are required, as is the ability to deal effectively with a wide range of constituents.

The museum often faces complex, exciting challenges with respect to new art commissions and the fabrication of exhibitions, artworks, public performances, and artist residencies: a love of creative problem-solving is required. Background experience with carpentry, metal work, construction, rigging and building systems is a plus. Formal training in electro-mechanical and structural engineering, and familiarity with building code, standard construction procedures, and public safety systems and procedures will be valued. While a college degree and advance professional training are preferred, the ability to recognize operational and building system problems, and to craft feasible solutions, is more important than any particular technical skill, career certification, or advanced degree. This is a "people" position, as much as a "hardware" job.

During capital renovation projects, the Operations Manager is expected to review drawings and specifications; oversee public and private bid process; insure project conformance with plans and applicable construction work rules; convene, oversee and document job meetings; and will act as liaison with the architects and third-party project managers on large construction projects. On smaller jobs, the Operations Manager acts as project manager and clerk-of-works.

The job will require frequent interaction with working artists, so a real interest in current visual and performing art practices is important. The museum presents many weekend and evening performances, and a meaningful presence during extended evening and weekend hours to ensure smooth plant operations is expected.

Detailed Job Description:

Internal Operations & Private Sector Construction:
  • Responsible for management of museum operations with respect to buildings and grounds, to include coordination of all physical plant and building systems operations, including those that overlap visual arts, performing arts, and commercial space leasing.
  • Coordinate all art fabrication projects that alter the museum's fixed building structure, or affect the complex's HVAC or life safety systems. Work closely with staff and visiting artists to find and propose creative solutions when proposed projects would affect building systems or building codes, or interfere with existing systems.
  • Coordinate all public special events with membership, development and public relations departments. Anticipate issues and problem-solve to ensure we host comfortable, safe, hospitable events, well-served by the institution's B&G staff.
  • Represent the institution to the public, tenants, visiting artists, and special events customers on all matters relating to the facility.
  • Maintain buildings and building systems at the MASS MoCA facility and satellite properties, including budgeting, staffing, payroll-monitoring, and commercial/liability insurance coverages.
  • Directly supervise custodial, buildings and grounds, and security staff (including staff development, creation of overlapping knowledge areas, management of vacation scheduling, etc).
Public Sector Work:
  • Solicit and manage bids in conformance with local, state and federal public financing rules.
  • Provide budgetary oversight of construction process, with special attention to change-order requests and management of contingency budgets
  • Verify certified payroll for public works projects

    MASS MoCA Internship Program

    MASS MoCA seeks full-time interns for various departments. Spend any season in the culturally rich, naturally beautiful Berkshires, while gaining invaluable professional experience in the arts. Paid interns are given $100/wk stipend and free housing within a block of the complex. We also have an academic internships where interns can receive up to 12-15 credits for full time employment that could be arranged between the applicants school and MASS MoCA. We offer internships in the following departments.

    Each applicant may apply to a maximum of 2 departments.

    We are accepting applications for Winter/Spring 2008.

    Production (2) : Interns work with the Production Coordinator, Master Carpenter, Master Electrician, House Sound Engineer, and house crew on all aspects of technical theatre and film. This includes hands-on in all of the following areas - carpentry, lighting, sound, audio/visual, and running crew.

    Performing Arts Administration : Intern work directly with the Managing Director of Performing Arts in the coordination of current and future season planning, general office work, and maintaining and updating all performing arts files. Also, will alternate between the Assistant to the Managing Director and Company Manager with drafting event programs, researching upcoming artists, assisting with artist services to arranging transportation and housing logistics of visiting artists, staff, and fellow interns.

    Box Office Interns assist both the Box Office Manager and Assistant Manager with promoting performances and exhibitions to the public, act as a greeter and provide customer service (general information about MASS MoCA, North Adams, Western Massachusetts – often includes giving directions and/or recommendations of other highlights of Berkshire County) as well as maintaining the overall look of the lobby. Interns are responsible for providing phone and administrative support, processing ticket orders, maintaining mailing list database, and responsible for daily cash draw. Interns will also assist in giving tours of the galleries.

    DesignIIntern works directly with the Director of Design to produce a wide range of printed and virtual matter for the museum. Intern should demonstrate a creative talent, enthusiasm, and a commitment to a career in graphic design. Excellent knowledge of Adobe Creative Suite a must. For this internship, a portfolio review and interview are required.

    Marketing and Public Relations :Interns work on all aspects of publicizing the organization including writing press releases, giving tours of the galleries, preparing press packets, advertising for all upcoming performing arts events in surrounding areas, researching new forums for publicity, and assisting with public outreach and special events. Must have drivers' license and be willing to do a fair amount of driving.

    Visual Arts:Interns assist in the day-to-day operations of a busy curatorial and education department, giving regular tours of exhibitions, developing focused "spotlight" talks on topics of special interest, and assisting in the preparation and planning of upcoming exhibitions at MASS MoCA.

    Other Internships

    A semester long internship is available in Kidspace at MASS MoCA. Primary responsibility is to work with school groups by assisting the Kidspace education coordinator in leading tours, conducting art projects, and running artist residencies with Kidspace artists in the schools. Interns also may assist with public hours, helping visitors explore the exhibition and create their own works of art. The intern will assist Kidspace staff with planning upcoming events, art classes and gallery activities, writing family guides and curriculum activities, and with some office duties as needed. The intern is invited to participate in the MASS MoCA intern education program, which meets once a week to discuss different museum-related topics. Interns also meet artists, performers, and museum staff.

    This is a great opportunity for a student (especially education and arts majors) to learn how to make contemporary art accessible to the public thru educational programming.

    STIPEND AND HOUSING

    Q: How much is the stipend and which departments offer stipend and housing?
    A: All departments offer each intern $100/week stipend plus housing for the duration of the internship in that department.

    Q: What is housing like?
    A: Located within walking distance from MASS MoCA, intern housing is furnished with basic furniture, pots and pans, and silverware. Interns share a bedroom (usually 2 interns per bedroom) and common areas with fellow interns. Interns are responsible for their own meals.

    Q: Are pets permitted in intern housing?
    A: No. Pets are not permitted in intern housing. Please find alternate pet care for the full duration of your internship.

    WORK HOURS AND DAYS OFF

    Q: How many hours do interns work?
    A: Full time Interns will be working 50 hours plus. This is the best way to experience the inner workings of each department. Days off are determined by each department according to their needs.

    Q: Are interns allowed to leave for several days at a time?
    A: If you have a wedding or some other brief (2–3 days) event to attend that has been planned in advance, please inform us asap if you are selected for an interview. If you would need to leave the internship for one week or more, please do not apply now. Consider applying in the future when your schedule is more flexible. We are looking for people who can work continuously for the duration of an internship.

    OTHER QUESTIONS

    Q: Will there be any sort of intern education outside of working in the departments?
    A: Yes. Once a week interns will meet for a presentation and discussion by department heads and/or visiting artists. During the summer season, we also plan all-intern excursions to other regional cultural institutions, such as the Clark Art Institute, Williamstown Theater Festival, Jacobs Pillow and more.

    Q: Who covers travel expenses?
    A: Each intern is responsible for his or her own travel expenses.
